Terms of Service
Last updated: 16 October 2026
In short: Webook is a tool for running your bookings. You own your business data, you look after your login, you use the service lawfully, and you pay your plan fees. We keep the service running and protect your data as described in our Privacy Policy and on our Trust page.
1. Who we are and what these terms cover
Webook is a booking and scheduling service provided by Waesta Enterprises U Ltd ("Waesta", "we", "us"), a company registered in Uganda. These terms are the agreement between Waesta and the business or person that creates a Webook account ("you"). By creating an account, ticking the box at sign-up, or using Webook, you accept these terms. If you accept them for a business, you confirm you have authority to bind it.
2. The service
Webook lets a business set up services and staff, take appointments through a public booking page or embedded widget, manage a front-desk queue and walk-ins, keep customer records, send confirmations and reminders by email (WhatsApp and Telegram messaging are coming soon), issue invoices, and see reports. Some features depend on your plan, and we may switch individual features on or off for your account, for example to match your plan or to withdraw a feature that is being replaced.
3. Your account and security
- Give accurate information at sign-up and keep it current. You must confirm your email address before you can sign in.
- You are responsible for everything done under your account, including by staff you add. Give each person their own login and the lowest role they need.
- Choose a strong password and keep it private. If you think your account has been misused, change your password at once and tell us at [email protected].
- Do not try to access another business's account or data, or to interfere with the service or its security.
4. Plans, fees and payment
- Webook has a free plan and paid plans. Plan limits (for example staff, services, monthly appointments) and prices are shown on our Pricing page and in your dashboard, in Kenyan shillings or Ugandan shillings depending on where you are.
- Paid plans are billed in advance for the period you choose and are paid by mobile money (for example M-Pesa, Airtel Money or MTN Mobile Money) through our payment partner, or as we otherwise agree with you in writing.
- If a payment fails or a subscription lapses we may limit new work on your account, for example new bookings, after telling you. Your existing records are not deleted for non-payment alone, and you can still export them.
- We may change prices or plan limits. We will give you reasonable notice, and a change applies from your next billing period.
- Fees are not refundable unless the law requires it or we say otherwise in writing. You can change or cancel a plan at any time and it ends at the close of the period you have paid for.
- Fees exclude taxes. Where tax applies, it is added at the rate that applies in your country.
5. Your data
The information you and your staff put into Webook, including your services, staff, bookings, customer records and messages ("your data"), belongs to you. You give us permission to store, process and transmit it only as needed to provide Webook to you, to keep it secure, and to meet our legal duties.
We do not sell your data and we do not use your customers' details to advertise to them. How we handle personal data is set out in our Privacy Policy. You can export your data and ask us to delete it, as described there.
6. Acceptable use
You agree not to use Webook to:
- break the law, including data protection law, or infringe anyone's rights;
- send unsolicited or deceptive messages, or message people who have opted out. Marketing messages must respect each customer's opt-out;
- collect or store information you have no lawful reason to hold, or sensitive information you cannot protect properly;
- upload malicious code, probe or attack the service, avoid usage limits, or resell Webook without our written agreement;
- use the service in a way that degrades it for other businesses.
We may suspend an account that breaks these rules, putting the service or other users at risk, and we will tell you why where we can.
7. Your customers' personal data
For the personal data of your customers (names, phone numbers, email addresses, appointment details), you decide why and how it is used, so you are the data controller and Waesta acts as your processor, handling it only on your instructions and as these terms and our Privacy Policy describe. You are responsible for having a lawful basis to collect it, for telling your customers how you use it, and for honouring their requests. Under the Data Protection and Privacy Act, 2019 of Uganda, and the data protection laws that apply where you operate, you must meet your own duties as a controller. We will help you with reasonable requests from your customers and tell you without undue delay if we learn of a security incident affecting your data.
8. Availability and support
We work to keep Webook available and to fix problems quickly, but we do not promise it will be uninterrupted or error-free. We may carry out maintenance, and things outside our control (such as power, internet, mobile money or email providers) can affect it. Support is available at [email protected] or through Report a problem inside Webook.
9. Ownership of Webook
Webook, its software, design, logos and documentation belong to Waesta Enterprises U Ltd or its licensors. We give you a limited, non-exclusive, non-transferable right to use it for your business while your account is active. Nothing in these terms transfers our intellectual property to you. If you send us feedback or ideas, you let us use them to improve Webook without owing you anything.
10. Our responsibility to you
- We provide Webook with reasonable care and skill. Beyond what the law requires, we give no other warranties, including that it will fit a particular purpose.
- To the extent the law allows, Waesta is not liable for indirect or consequential loss, such as lost profits, lost bookings or lost goodwill, or for loss caused by things outside our reasonable control.
- To the extent the law allows, our total liability to you for all claims in any 12 months is limited to the fees you paid us for Webook in those 12 months.
- Nothing in these terms limits liability that cannot lawfully be limited, such as for fraud or deliberate wrongdoing.
- You are responsible for claims arising from your own use of Webook in breach of these terms or the law, including how you use your customers' data.
11. Ending this agreement
You can stop using Webook and ask us to close your account at any time. We may suspend or end your account if you seriously or repeatedly break these terms, if fees stay unpaid after notice, or if the law requires. Before an account is deleted you can export your data. When an account is deleted, its data is erased from our live systems, and any copies in backups are removed as those backups are overwritten. We may keep limited records we are legally required to keep, such as billing records.
12. Governing law and disputes
These terms are governed by the laws of Uganda. We hope to settle any disagreement by talking first: write to [email protected]. If it cannot be settled, it will be decided by the courts of Uganda, without affecting any rights you have under mandatory consumer or data protection law where you live.
13. Changes to these terms
We may update these terms as Webook or the law changes. For material changes we will tell you by email or in the app before they take effect. If you keep using Webook after the date they take effect, you accept the updated terms; if you do not agree, you can close your account.
